have a very hard time finding a machine that can read and interpret the disk information properly. You need a compatible operating system as well as the hardware. For people that can remember 8-track tapes, all the tapes you have are unplayable because no players are available.

  Therefore a key issue as you embark on electronic records management is how long will the data on the media be available. Since all media has a limited time access (shelf life), it is important to periodically and regularly copy the data on your current media to fresh media.

Media Life

  Media life can mean several different things. First, it can be the manufacturer’s expectation of how long the media could remain readable. It can also mean the "guaranteed" time the media will remain readable by the manufacturer (which is typically less than the manufacturer’s expectation of media life). It can also mean the device and software technology life of the media. For example, you may have an 8" floppy disk but you can’t find a disk drive that it will work in. The same is true for 5-1/4" floppy disks. Both the readers and the software to read the disks are long out of production and simply may not be available to you today. The message is clear. As new media becomes available and starts to obsolete old technology (such as VHS tapes versus DVDs), you should systematically migrate information from the old media to the new when the technology to do so is available or you risk the ability to ever recover the data.

Electronic records management is using your computer to store, maintain, and access your records. Paper documents are converted to images on a scanner.
